Head of Finance
Location: London
Salary: £45,000

The Head of Finance is responsible for the financial record keeping, liaising with the external auditors and accountants and the provision of management information for the whole organisation, including its subsidiary British Ballet Organization Dance Supplies Ltd.and the Australian and New Zealand branches.

Key Responsibilities:
1. Senior Management Committee (SMC)
  1. Active participation in the functioning of the SMC that advises the CEO
  2. Liaise regularly with the CEO
  3. Establishment of relevant key success criteria with reference to the Charitable objectives
  4. Production of annual action plan for the forthcoming calendar year identifying risks and opportunities and reporting on key success criteria
  5. To provide input for the annual budget preparation and the monitoring and controlling of relevant income and expenditure
  6. Identification of significant risks to the organisation and opportunities on an ongoing basis
  7. Help to facilitate communication, control and ongoing reporting with Australasia
  8. To undertake any additional responsibilities as required by the CEO.

2. Provision of information to Trustees
  1. Preparation of the year end Financial accounts for auditing and signing
  2. Regular Financial reporting to the SMC and Trustees.

3. Financial process
  1. Development, amendment and maintenance of appropriate levels of systems and controls
  2. Annual Budget and cash flow preparations and ongoing monitoring
  3. Oversight of the book keeping function
  4. Development and ongoing monitoring of Business Plan.

4. Management information
  1. Reporting on the various income streams and cost centres – monthly management accounts
  2. Development of KPI’s.

5. Specific finance functions
  1. Control of Debtors and Creditors, and payment process
  2. Control of the outsourced PAYE and Company records and tax/annual returns
  3. Fee calculations based on BBO models and detailed understanding of costings
  4. Monitoring of the organisations VAT situation
  5. Control of Treasury function for cash deposits – Management of the organisations bank accounts and interest returns
  6. Ensuring, the effectiveness of the Australasian finance function and the reporting process
  7. Design, control and monitoring of the BBO’s expenses policy, including the central recording of all fee agreements.

6. Related functions (possible responsibilities based on past experience)
  1. Update Charities Commission website as and when necessary
  2. HR – Liaising with CEO and Head of Operations re outsourced advice
  3. IT – Liaising with CEO and Head of Operations on the developmental strategy, implementation and resourcing
  4. Coordination of the risk management strategy in conjunction with CEO
  5. Oversight of the organisations pension scheme in conjunction with CEO
  6. Coordinating and control of subletting
  7. Ensure periodic review of key policies is undertaken through SMC
  8. Review and coordination of insurance cover for the organisation in conjunction with the SMC
  9. Oversight of contingency/organisational interruption planning in conjunction with the Head of Operations.

General:

The Financial Controller reports to the CEO who leads the periodic review.

Annual appraisals will consider all aspects of the responsibilities which will include assessment of the contribution to the successful running of the SMC. There is an expectation of good cooperation, a positive and constructive attitude combined with the timely execution of delegated actions.

The post is full time, and demands a hand on and interactive approach with all areas of the organisation and the undertaking of additional roles and responsibilities as the organisation requires.

As a part of the Senior Management Committee there is an expectation to ensure:
  • that the values of the organisation are upheld and that all advice is given in the light of these, the organisations charitable objectives and current strategic plans
  • adherence to the basic principles and specific guidance contained within the BBO’s Expenses policy, in relation to the specific areas of responsibility
  • a positive and proactive approach to all aspects of BBO’s communication strategy, both internally and externally
  • a high level of discretion, maintenance of confidentiality and disclosure of any actual or potential conflict of interest
  • adherence to the BBO’s various policies and procedures
  • Levels of client service are upheld at all times
  • adherance to the brand guidelines.
